The short answer
After-hours coverage needs a time-zone-aware schedule, a restricted set of approved answers and a real destination for exceptions. A captured request is useful only if someone owns it when the business reopens.
Step 1 / 5
Map open and closed hours
Document the location’s timezone, weekly hours, holidays and special closures. Separate public opening hours from staff availability: a hotel may accept guests while its reservation team is closed. Give the schedule an owner and test calls just before and after each boundary. Do not infer holiday coverage from a general calendar or a different branch’s website.
Step 2 / 5
Choose the allowed closed-hours work
Start with directions, approved property information and callback requests. Define what cannot happen overnight, including unverified access codes, price exceptions and identity-sensitive changes. In a hotel, a late arrival is not the same as a new reservation inquiry. Write separate routes so a guest needing staff does not get trapped in a sales script.

Set the on-duty destination
Use an approved business destination with a backup. Test an unanswered transfer and a busy line. The AI must not treat transfer initiation as proof that someone answered. If no transfer service is connected, collect a request and clearly state that it needs staff follow-up. Never invent an emergency response capability or a guaranteed arrival time for an employee.
Step 4 / 5
Make reopening follow-up concrete
Agree who checks the overnight queue, which fields they need and how they mark a request resolved. A callback expectation should come from the business, not an AI-generated promise. Include the caller’s timezone if a later contact crosses regions. Review duplicates so several calls about one issue do not look like several new sales opportunities.

Run a reversible pilot
Use a limited closed-hours category first and keep the original phone route available. Compare complete requests, unsuccessful handoffs and staff work needed the next morning. Prepare company knowledge and a draft agent before routing calls. This account can hold the setup records, but actual overnight phone coverage requires telephony configuration.
Your action checklist
- Hours and timezone approved
- Holiday exceptions assigned
- On-duty and backup contacts tested
- Overnight queue has an owner
- Phone routing can be reversed
