A useful knowledge base contains specific, approved business facts and a clear response when information is missing. It is not a collection of generic sales claims. Stable answers can be stored; changing availability needs a connected source of truth.

Start with the questions callers actually ask

Collect common administrative questions from the team rather than generating a long FAQ without evidence. Examples are service duration, parking, cancellation, preparation requirements and coverage area. For each, write the exact allowed answer and the person responsible for it. Keep unsupported claims, medical advice and unapproved comparisons outside the knowledge pack.

Separate stable rules from live facts

Office location and general service descriptions are relatively stable. Available appointments, room inventory, personalized prices and dispatch status are not. State which facts can be answered from stored information and which require a current system lookup. Without a live connection, the fallback should be a request for confirmation, not an inferred answer from yesterday’s data.

Resolve conflicts before import

If a website, printed sheet and staff script disagree, choose the approved version before saving them. Add effective dates where relevant, especially for holiday opening hours or changed cancellation rules. Do not assume the AI will resolve policy disputes correctly. Clear ownership makes updating one source less error-prone than copying conflicting paragraphs across every agent.

Test missing information and adversarial requests

Ask questions deliberately outside the pack and instruct the agent to ignore the company rules. The expected outcome is a bounded answer or handoff, not a confident invention. Test requests for another customer’s details, confidential information and access codes. Approved content does not make all caller requests safe. Maintain a review routine

Assign a person to review changes before the next live call uses them. Store a small test set for critical answers and repeat it after updates. Audit unexpected responses using the appropriate permissions. This product currently lets you create and edit company knowledge, but automatic synchronization into a live agent is not enabled yet.
