Write a service matrix
List each approved service with duration, location and required staff or room. Add preparation and cleanup buffers rather than hiding them in a long instruction paragraph. A gym orientation and a group class may use entirely different capacity rules. Let staff approve the matrix and avoid assuming that one empty calendar means every resource is free.

Test two callers asking for the last available place. The scheduling provider must enforce capacity at write time, not merely when availability is read. After a timeout, check whether the first write succeeded before retrying. If no provider integration exists, leave both requests pending and let staff reconcile them; do not pretend that manual records prevent conflicts.

Protect changes and cancellations
Use an approved identity process for existing bookings. Preserve the original appointment until the system accepts the replacement or cancellation. Published cancellation policies may explain what happens, but they do not prove that a fee was waived or recurring billing stopped. Escalate exceptions and disputes to the business owner.
