Find the actual coverage gap

Separate new inquiries from existing-customer support. Your baseline should identify the gap you want to reduce. Staff should be able to recognize that status without reading the entire conversation. Expand the scope only after the limited categories are handled reliably.
Do not turn a phone queue into an invisible note queue
Capturing a request is not useful if nobody checks it. Assign an owner, required details, and a way to mark follow-up. Tell the caller the real next step without inventing a callback deadline. Review repeated calls about the same issue so they are not counted as separate opportunities. Include staff time spent correcting notes in your pilot assessment. If the request cannot reach the responsible person, that is an operational failure even if the spoken conversation was pleasant and the transcript looks complete.
